How can I extend or shorten my project accommodation if the schedule changes?

Changing your project accommodation can be managed smoothly if you agree on the change procedures when you make your booking. If the project is delayed, completed ahead of schedule or the number of staff changes, please let us know your new requirements straight away. We will review the accommodation arrangements and confirm the change in writing to ensure that your staff’s accommodation and your company’s invoicing remain under control.

Changing project accommodation starts with clear terms and conditions

Before confirming the booking, agree on how extensions, shortening of the stay and changes to staff will be handled. Also check the procedure for notifying changes, any deadlines and whether a change requires a new confirmation. Private individuals should note that accommodation booked for a specific date is not subject to the standard 14-day right of cancellation. Finnish Competition and Consumer Authority advises you to check the booking and cancellation terms and conditions before making a booking. For project accommodation between companies, the terms and conditions agreed between the parties shall apply.

Prompt notification and written confirmation ensure that accommodation arrangements are adjusted in line with the changing project schedule.

It is worth ensuring in good time that your project accommodation is extended

If the project completion date is delayed, please let us know the estimated extension period and the number of residents straight away. The sooner we are informed, the better we can look into the possibility of extending your current accommodation or finding another suitable solution. Our project accommodation can be arranged to last from a single night to several months.

Do not leave the extension request until the original departure date. Please also state whether the new end date has been confirmed or is still an estimate. If, for example, the project continues for two weeks but some of the team leave earlier, please specify the dates for each employee. This will ensure that the accommodation arrangements reflect the changed staffing requirements.

Adjusting project accommodation as the number of staff decreases

Bringing the project forward or the completion of a work phase may reduce the need for accommodation. Please send us the new departure date, the number of people still requiring accommodation and details of the rooms that will become available. A change does not automatically constitute a free cancellation, so we will check the agreed terms and confirm the updated arrangements.

For example, six weeks’ accommodation for ten employees amounts to 420 person-nights. If two employees leave after four weeks, the actual requirement is reduced by 28 person-nights. If you notify us of the change straight away, we can update the personal and date details before the next billing cycle. An employee may also be replaced during the period, provided the length of stay remains the same and we receive the new occupant’s details in advance.

A single written notification keeps the change under control

Include the booking or project reference, the accommodation, the current check-out date, the new date and the number of guests in the change notification. At the same time, specify who is leaving, who is staying on, and whether any new staff members will be joining. Request written confirmation of the change before informing staff of the new schedule.
